Update on Increased Onsite Presence

SVC Gore shares an update on onsite work, clarify where we are now, and share opportunities in the coming weeks to learn more.

‌I am writing to share an update on onsite work, clarify where we are now, and share opportunities in the coming weeks to learn more. 

‌Chancellor Hawgood and senior leaders, including myself, have affirmed UCSF is an on-site institution, with the expectation of increased onsite presence across our departments and teams. Our work happens here at UCSF – our labs, research, learning and patient care. 

As I have shared before, many teams within FAS have always been onsite or have already launched their increased onsite work plan. For the departments still finalizing details, I acknowledge that not having concrete information can be stressful. In the coming weeks, we hope to provide the clarity needed on how changes may impact you.

 

‌What is Changing 

Many of our employees, and their leaders, are already on-site 5 days a week. For those who have some flexible component, the default expectation is that staff are onsite four (4) days or more a week, unless an alternative schedule has been formally approved. Departments have the flexibility to recommend employee work schedules based on their specific operational needs, provided such arrangements remain consistent with institutional principles and performance expectations, and are approved by the FET leader and SVC Gore. Managers and supervisors are expected to model these expectations by being on-site as often as, or more often than, their teams.

  

How FAS is Approaching Increased Onsite Need

Leaders within FAS and across the enterprise have been working hard to implement new guidance and address efficient use of space based on onsite and operational needs. Thank you to those helping with the complex details and for the feedback we’ve received along the way. 

Updates on key areas of focus

  • ‌Implementation guidance: FAS plans to launch an implementation guide in early July that will include processes, criteria, best practices, and timelines.
  • ‌Exception and extension process: FAS will provide the exception and extension process template in the first week of July for departments who have not already completed this process.
  • Space planning and room/workspace reservation systems: Many leaders within FAS are working aggressively on space planning needs and we are in the final stages of selecting an enterprise room/workspace reservation system.
  • ‌Policy: A new On-Site and Structured Flexible Work policy has been posted for comments/feedback.  
  • ‌Virtual FAS Town Halls focused on onsite work: SVC Gore has scheduled two additional special virtual FAS town halls in July focused on onsite work:
