Introducing MyTime: Improved Scheduling and Timekeeping System

Dear UCSF Community,

We are pleased to announce that UCSF will deploy a new integrated timekeeping and scheduling system that aims to improve workforce management using advanced technology that is secure, easy to use and mobile friendly.

Called MyTime, this new system will replace aging technology and provide streamlined scheduling and timekeeping capabilities that will better meet our changing business needs. MyTime is expected to go live in early 2025.

Part of our ongoing investment in information technology across the enterprise, the MyTime project will provide real-time data and analytics on staffing. Among key features of this application:

  • Alignment: Brings together the advanced functionality from disparate systems that will replace the old HBS Timekeeping System and three scheduling systems used by UCSF Health (Clairvia, StaffReady, and OnOrOff) to drive standardization and improved processes.
  • Accessibility: Gives employees access to scheduling and timekeeping through multiple devices – time clocks, desktop computers, tablets, and the option to use mobile phones (iOS11 and Android 6 or higher).
    • Timekeeping: Incorporates user-friendly navigation with tiles, menus, icons, and push notifications making it easy for employees to request leave, correct errors, view schedules, and filter and pick up available/open shifts where applicable.
  • Scheduling: Offers managers real-time visibility of schedules and staffing to better align resources to workload and meet patient care needs while building team member engagement.‌

We have partnered with Ultimate Kronos Group (UKG) to implement this technology at UCSF. UKG’s timekeeping and scheduling technology is widely used in higher education and health care, including UCSF Benioff Children’s Hospital Oakland. ‌

As current timekeeping and scheduling practices vary across the enterprise, the transition to this new system will have different impacts from across the campus and health system. 

We’ve enlisted a project team with representatives from across UCSF to prepare for and guide us through the ways in which the switch to MyTime will affect employees and managers. As with any new technology implementation, we will begin to offer training on how to use the new system in the months ahead.
