March 2014 FAS Strategic Priority Update

Date:
March 7, 2014

Dear Financial and Administrative Services (FAS) Community,

Please find updates below on the following topics:

Spring Staff Engagement Survey

It continues to be a UCSF-wide goal to be the workplace of choice where people are able to make a meaningful contribution and feel valued for their effort. To measure our progress toward this goal, the next Staff Engagement Survey will be conducted in late April thru mid-May 2014. Since the last survey conducted in April 2013, work groups have worked hard to review their survey results, develop action plans which address areas most important to their work environment, and  implement those plans. Within FAS, 91 teams have developed 234 action plans. Follow this link to read some examples of progress made on FAS action plans since the last survey. Please ask your supervisor if you have questions about your team’s staff engagement action plan.

The questions on the April / May 2014 survey will be the same as those used last year and include:
  • The Gallup Q12 - the twelve elements of worker engagement
  • Three accountability questions – questions that assess the process teams used to improve their working environment: feedback on survey results, effective action planning, and progress made on plans
  • A question about recommending UCSF Medical Center to family and friends
An open-end question inviting additional comments or recommendations There will be further communications as the survey date approaches.

March FAS Managers’ Town Hall Presentations

We had our fall FAS Managers’ Town Hall on March 6th. Below you will find a short recap of the event and links to the two presentations.
  1. Dean, School of Medicine and Vice Chancellor, Medical Affairs (and soon to be Interim Chancellor) Dr. Sam Hawgood, MBBS was our guest for the first hour. He began his presentation by thanking all FAS staff for what we do and to support what he describes as a “magical mission.” He shared with us the UCSF Health System Strategic Plan which he said was the most important clinical strategic plan undertaken in the last thirty years and critical to the health and vitality of our education and research missions. The plan highlights three strategic priorities which will be implemented from 2014 – 2020 and beyond:
  • Create a culture of continuous process improvement (CPI)
  • Develop world class destination programs
  • Establish a high-value system of care (ACO or Accountable Care Organization)
  1. For the second hour, Paul Axelrod from UCSF Learning and Organizational Development led a discussion on Taking Staff Engagement to the Next Level. He shared with us “best practices” from UCSF work groups who have already achieved high scores in staff engagement. The findings emphasize that although achieving best-in-class engagement includes making meaningful progress on real action plans, it goes beyond these basics by creating a work environment that allows staff to make real connections, encourages collaboration, ensures   an open dialog, cultivates recognition, and creates a true sense of belonging. In a live  interview Paul conducted with staff from one of the best practice groups in the Medical  Center Call Center; one employee described her work place as “her home away from home.”

UCSF 2.0 Update

The four-phase UCSF 2.0 initiative began in September 2013 with UCSF 2025, an online game that leveraged the power of social media to generate more than 25,000 ideas from more than 2,500 participants both inside and outside the University. The ideas were grouped into themes across research, education and patient care. From October through December, a series of focus groups and in person workshops were held to further explore and add depth to the themes and ideas.

Over the next few months, big ideas will be defined and compiled into “idea maps” that can be incorporated into a long-term vision for the University. During the final phase, ideas will be selected for further planning and assigned to owners and teams for  development  into  specific  strategic plans.
