FAS All Staff Update

Dear Financial and Administrative Services (FAS) Community,

 

I'm one month into my new role as Senior Vice Chancellor and I'm honored to share some updates to keep you in the loop. In this issue, see answers to some of your burning questions in my conversation with transportation demand manager Georgina Arias, plus meet our upcoming FAS DEIA-AR (Diversity, Equity, Inclusion, Accessiblity and Anti-Racism) Speaker Series guest Dr. Camara Jones, reflect on a year of progress on our Telework and Workspace Program (TWP), learn more about the upcoming UCSF Staff Engagement Survey and get other updates that impact your work and life at UCSF.

 

In closing, I want to send a message of support to those in our community who have been impacted by the war in Ukraine. Witnessing what is unfolding in Eastern Europe is difficult, especially at a time when communities all over the world have been worn down by the pandemic. UCSF is working on a list of resources of ways the University of California community can help. Join us for the second FAS DEIA-AR Speaker Series featuring Dr. Camara Jones

Tuesday, March 29 from 12:10-1pm

Meet Dr. Camara Jones, family physician, epidemiologist, and Past President of the American Public Health Association whose work focuses on naming, measuring, and addressing the impacts of racism on the health and well-being of our nation and the world. Dr. Jones is currently the 2021-2022 UCSF Presidential Chair at the University of California, San Francisco (UCSF). Her allegories on "race" and racism illuminate topics that are otherwise difficult for many Americans to understand or discuss. Read more and RVSP.

FAS Telework and Workspace Program (TWP) updates: ​Reflecting on a transformative year​​

See the presentationThe last two years brought immense change to how works gets done in FAS. For those on-site, masking, social distancing, daily health screenings and other changes have become a new normal. Meanwhile, Zoom meetings, Teams chats and other virtual forms of collaboration have become the norm for staff working from home. Through it all, the one constant has been FAS teammates' willingness to learn and adapt to new ways of delivering excellent service to those who depend on us. As we navigated this new territory of off- and on-site operations, we set out to explore what the future of work would look like in FAS. Building on the foundations of the Task Forces for Telework and Future of Administrative Space, the FAS Telework and Workspace Program (TWP) launched one year ago with the goals of creating an optimal work experience and reducing FAS administrative space footprint. See the presentation to find out more about TWP accomplishments, how FAS is addressing space and details about the new FAS Work Hubs. Making it stick: Leader behaviors to support a successful hybrid work model

If our culture change to a hybrid work model is successful, what behaviors will we see? What environment will be created because of those behaviors? Human Resources shares more about the leader behaviors needed to support a hybrid work model, how PRIDE Values become part of our culture, how team rituals help and what leaders can do now. What leaders can do now:

  • Talk regularly about the importance of embracing a hybrid work model and talk enthusiastically about our hybrid work future (versatility, flexibility, community)
  • Set expectations for leaders in your unit to align with Telework Vision and Guiding Principles in plans for ongoing telework
  • Challenge location-based beliefs and continue to adapt rituals for the hybrid work model
  • Demonstrate practices that equitably include all participants in hybrid meetings/events

Transportation

More people in the UCSF community are thinking about transportation since the expansion of return-to-onsite work on March 1. Transportation Services shares how regional traffic conditions affect UCSF commuter behavior, current shuttle services and changes, parking options and alternatives to driving alone. UCSF Health Perspective

The UCSF Health perspective on space

As FAS leads the way in reimagining our workspace needs, our peers at UCSF Health are learning from us and developing their own plans to address critical space needs. Space is very tight at all three campuses. UCSF Health is prioritizing hospital space and outpatient locations for employees who physically interact with patients or support the physical space. The FAS administrative space reduction efforts have already helped the nursing training program by giving up space at 2001 Embarcadero previously planned for HR on-site needs. The nursing training program will now be able to consolidate from several locations across the city to one central location and meet their goal to create an Innovation Center, “a single source, world-class destination for all nursing focused clinical care education, training and professional development activities to achieve the best nursing workforce in the world.” See the presentation (PDF).

Getting ready for the UCSF Staff Engagement Survey April 12-May 6

The 2022 UCSF Staff Engagement Survey launches in six weeks, April 12-May 6, 2022. Last year, FAS participation rates, engagement and belonging scores increased overall, while survey results also identified variations in the workplace experience by demographics and representation status. We want to keep building on our success and improve the way Our People experience our workplace. Upon receiving 2021 results last July, FAS teams immediately started action planning, with 202 managers creating 227 plans designed to support department goals. Action planning by the numbers

  • 100% FAS departments input action plan into Gallup​​
  • 100% FAS departments submitted action plan summaries ​
  • FAS has approximately 227 action plans
  • 202 FAS managers were required to have action plans
