Due 12/5: Enroll in Duo Two-Factor Authentication

Dear Colleagues,

Like most universities and hospitals, UCSF is experiencing a significant escalation in the number of phishing and other cyberattacks, resulting in compromised accounts and potentially exposing University data. In response to these threats, UCSF is rolling out Duo two-factor authentication for all remote users of VPN and Outlook Web Access.

You are probably already using some form of two-factor authentication to protect your Gmail, Apple, and banking accounts. Duo is an app that prevents unauthorized access by asking you to approve logins. Each member of the community has a responsibility to safeguard the information assets entrusted to us and preserve our University’s reputation, and Duo will help us fulfill this obligation.

If you use VPN or Outlook Web Access from anywhere outside of the UCSF network, you should have recently received an email from “[email protected]” with the subject “Duo Security Enrollment.” The message contains a unique link that will walk you through enrolling in the service. You need to complete your enrollment by December 5 for VPN use and December 12 for remote Outlook Web Access.

In-person IT Health Desks continue to be available across campus, and I encourage you to stop by “Perfect Duo: Coffee and Cookies” enrollment pop-up events on November 30 at Parnassus and Mission Hall where you can sign up for Duo in under 5 minutes and receive in-person support.

Some of you have expressed concern that this will have an impact on your ability to work while traveling or if you are stationed internationally. The Duo smartphone app will still work without an internet connection. Instructions are available on the Duo Frequently Asked Questions page (see the “Options for using Duo” section).

As always, UCSF IT is available to help you. Call 415-514-4100 or visit an IT Health Desk for in-person support.

UCSF is committed to improving the security of our information systems, and we appreciate your cooperation in keeping our environment safe.

Sincerely,

Paul Jenny
