Due in January: New (and improved) Telework Agreements

Dear Financial and Administrative Services (FAS) Managers,

We are writing to let you know about a change coming to UCSF’s Telework Agreement: By January 31, 2022, all UCSF employees who will be working off-site some or all of the time will need to complete a new Telework Agreement. This email provides information to help you and your teammates prepare to meet this deadline. 

What is changing?

UCSF’s process for securing telework agreements is becoming automated, via integration between PeopleConnect and DocuSign. Beginning December 6, 2021, managers and their delegates will be able to initiate telework agreements in PeopleConnect for their direct reports to sign via DocuSign. Department level reports will be available to track completion, and telework agreements will initially be stored in DocuSign. At a future date, the process for archiving the agreement in the teammate’s personnel file will be automated.

Why is this change happening?

With thousands more teammates at UCSF teleworking than were doing so pre-pandemic, UCSF is improving the Telework Agreement process to help leaders better understand the landscape of off-site and flexible work models at UCSF.  

How will this change help? 
  1. The automated process will improve the experience of completing and archiving telework agreements for both managers and staff. 
  2. The integration with PeopleConnect will allow UCSF to track data related to off-site and flexible work for the purposes of measuring and better understanding how successfully UCSF is building an environment that supports flexible work. 
What do I need to do now?

Start conversations with your direct reports in which you discuss the details of the Telework Agreement with each of them. We’ve prepared a Quick-Start Guide to help you gather the information you’ll need to provide on the new form.  

What is the deadline for completing Telework Agreements? 

January 31, 2022: Telework agreements must be submitted via PeopleConnect for all employees working off-site some or all of the time. The automated telework agreement will be available for managers to access starting December 6, 2021. A user guide, FAQs, and a brief video demo on how to initiate and complete Telework Agreements will be available on the UCSF Telework Website once the new agreement is live in PeopleConnect.
